Contact Data Extraction

Business Card Scanner

Turn batches of business card photos and scanned PDFs into contact data your team can review and export.

Sales teams, trade show and event organizers, and recruiters can extract name, title, company, email, phone, website, and address into consistent columns. Convert business cards to Excel, CSV, or JSON, then map the reviewed data to your CRM import fields.

DocuOCR is a browser workflow for uploaded image and PDF batches. It is not a dedicated mobile app for scanning a single card into phone contacts.

How it works

From business cards to Excel and CRM import files

Collect the files, choose contact columns, review the readings, and prepare an export for your destination system.

  1. Upload the card files

Add clear card photos or scanned PDFs. The uploader supports PDF, JPG, JPEG, PNG, BMP, HEIC, and TIFF. Use a plan with bulk upload for ongoing batch work.

  2. Choose the contact fields

Select name, title, company, email, phone, website, and address as columns. Use a custom extraction template when you need to reuse the same field selection.

  3. Review uncertain readings

Compare low confidence values with the source image and correct or confirm them in the review queue. Check email characters, phone digits, and contact names before export.

  4. Export and map the columns

Download XLSX, CSV, or JSON. Match the exported column names to your CRM import requirements, then import through your own system.

What we extract

Contact details in consistent columns

Choose the fields your import needs. The business card reader extracts visible content into your selected columns for review.

Business card fields

  • name, the contact name shown on the card
  • title, the printed role or job title
  • company, the organization name
  • email, the printed email address
  • phone, the contact phone number
  • website, the printed website
  • address, the postal address when present

Checks before CRM import

  • Check low confidence readings against the card
  • Confirm names and titles belong to the right contact
  • Check email punctuation and phone digits
  • Keep absent contact details empty
  • Match your export columns to CRM field names
  • Handle duplicate contacts in your destination system
  • Review the file before importing it

For other document fields, explore document data extraction software. For scanned card documents and other PDF tables, see PDF to Excel.

Who it is for

Teams collecting business cards in batches

Prepare a shared contact spreadsheet from collected card files before your team starts follow up or imports records.

Sales teams

Collect card photos after customer meetings and trade shows. Extract consistent contact columns, review the details, and prepare a CSV for your CRM import.

Trade show and event organizers

Process batches of collected exhibitor or attendee cards into a contact spreadsheet. Check the source details before using the list in your event workflow.

Recruiters

Read contact cards gathered at career fairs and networking events. Review names, roles, and contact details before transferring them into your recruiting system.

Contact capture

Move from retyping cards to reviewing contact data

Manual entry means reading each card and typing the same contact fields into a spreadsheet. Mixed layouts and small print make it easy to miss an email character or phone digit.

DocuOCR extracts the selected fields so your team can focus on checking the readings. Image quality still matters, and the final import needs your field mapping and review.

Manual contact entry

  • Read and type each contact detail
  • Create spreadsheet columns by hand
  • Compare typed values with the card
  • Prepare the file for your CRM import

DocuOCR

  • Upload card images and scanned PDFs
  • Extract the selected contact columns
  • Review low confidence values
  • Export Excel, CSV, or JSON for mapping

Extraction reads the printed information. It does not verify email deliverability, enrich missing details, or merge duplicate contacts in your CRM.

Contact data

Keep review in your contact workflow

Compare extracted contact details with the original card before sharing the contact list with colleagues. Use the review queue to correct or confirm uncertain readings, then export the fields your team needs for its import.

FAQ

Business card scanner FAQ

Answers about batch uploads, contact fields, review, exports, and pricing.

What is a business card scanner?

A business card scanner reads contact details from a card image and turns them into editable data. DocuOCR is a web workflow for processing batches of business card images and PDFs into fields you can review and export to Excel, CSV, or JSON.

Is this a mobile business card reader?

DocuOCR processes uploaded files in the browser. It is designed for teams collecting card photos or scanned PDFs in batches, rather than a dedicated mobile app for scanning and saving a single card to phone contacts.

How do I convert business cards to Excel?

Upload card photos or scanned PDFs, select the contact columns, and check the extracted values against the source. Download an XLSX spreadsheet or CSV file after review. For a consistent contact table, use the same field selection across the batch.

Which business card fields can I extract?

Choose name, title, company, email, phone, website, and address as your contact columns. Extraction depends on what is visible and readable on each card. Missing details should remain empty and uncertain characters need checking against the image.

Which file formats are supported?

The upload tool accepts PDF, JPG, JPEG, PNG, BMP, HEIC, and TIFF files. Use clear photos or scans with readable text. Blur, glare, cropped edges, and small print can affect extraction quality.

Can sales and event teams process cards in bulk?

Yes. Bulk upload is available on Plus and higher plans. Sales teams and trade show or event organizers can collect card images, use consistent contact columns, review the results, and export the batch for their own contact workflow.

How are uncertain contact details reviewed?

Low confidence table values are marked for review. Your team can compare them with the source, correct a value, or confirm the reading in the review queue. Check email addresses and phone numbers before export, since a confidence score does not verify that a contact detail is active.

Does DocuOCR connect directly to my CRM?

This workflow provides Excel, CSV, and JSON exports. Your team maps the exported columns to the fields required by its CRM and imports the file there, or builds its own import process. A direct CRM connector, automatic contact sync, and duplicate merging are not included in this workflow.

Can recruiters use the business card reader?

Recruiters can extract contact details from cards collected at career fairs and networking events, then review the results before importing them into their recruiting system. A business card contains contact information, so extracting full work history from a resume requires a separate resume parsing workflow.

How much does batch business card scanning cost?

The Plus plan includes bulk upload and custom extraction templates at $149 USD per month with monthly billing. Higher plans are available on the pricing page. A one time demo lets you test your own files before choosing a paid plan. Demo exports include watermarks.
