Refund Policy

Effective: October 14, 2026

Money you pay DocuOCR for a plan is not handed back after the charge succeeds, apart from three narrow cases. Below we explain those cases, how page allocations relate to the fee, and how renewal works. Future charges are always yours to stop from account settings.

01

Pages Are Not What You Pay For

Each DocuOCR plan, billed monthly or yearly, comes with a set monthly page allocation, the extraction tools and the API access listed on the pricing page. There is no per page billing on top of the plan and there are no page packs to buy. The payment opens the plan for its period with the entire allocation ready on day one, so the price stays the same whether you run every page through extraction or leave the allocation untouched.

02

Reasons We Will Not Refund

  • You changed your mind, moved to another tool, or stopped needing document extraction.
  • Few or no pages went through during a paid period, or your integration was never finished.
  • You disagree with how a field was read. Results depend on the quality and layout of each file, and fields with low confidence are sent to review so a person can confirm them.
  • Files that could not be read: damaged, locked with a password, handwriting nobody could decipher, or a format we do not support.
  • Running out of the monthly page allocation before it resets.
  • Forgetting to cancel before a renewal, or cancelling shortly after one.
  • A renewal that succeeded after earlier card attempts had failed (see section 04).
  • Treating a plan as a one-time payment. Pricing, checkout and the receipt email all say the plan renews.
  • Selecting the wrong plan, billing term or seat count.
  • Something the pricing page does not offer.
  • Days left in a period after cancelling. Access runs until the paid period ends, with no pro rata return.
  • Anything done through your account or API keys by people you gave them to.
03

The Three Refund Cases

Our records, described in section 06, must support the request before any of these is granted.

  • Charged twice. Our billing collected two payments covering one period.
  • A payment you never authorised. Someone used your card, you flag it within 14 days of the charge, and both our logs and the payment operator's data confirm it. You may be asked for evidence that the card issuer has been informed.
  • No extraction at all. A fault we confirm on our side stopped both document extraction and the API for a continuous stretch, you told us while it was going on, and we could not resolve it. Slower queues, a few documents failing, or problems with your own systems, network or files are not included.

The most we return is what you paid for the period affected. It goes only to the payment method that was charged, fully discharges our liability for that charge, and does not give a right to any further refund.

04

Renewal and Declined Cards

A plan renews by itself until you cancel it in account settings, which you can do at any moment with no need to contact us. From then on no renewal is charged, while you keep access until the period you already paid for runs out. Payments already collected are not reversed by cancelling.

At the start of each period the new allocation is loaded and the fee falls due. A declined card leaves that fee owing, and the payment operator retries it during the next few days; those retries are the same invoice, not extra charges. If you cancel while they are running, later renewals stop, yet the current period remains payable and is not refunded once paid. Cancel ahead of the renewal date shown in your account to avoid the next period.

05

Sending a Refund Request

Write to [email protected] from the email address registered on your DocuOCR account, no more than 14 days after the charge. Put the date and sum of the charge in the message, plus the number of the case from section 03. We cannot accept requests from other addresses or sent after those 14 days, and a refused request stays refused.

Going to your bank with a chargeback before speaking to us breaches our Terms of Service and ends with the account being closed permanently.

06

Evidence We Keep

Creating an account means you accept our Terms of Service, this policy forming part of them, and our Privacy Policy. Checkout lists the plan, price, billing term and automatic renewal before payment, and the receipt email confirms them.

For each subscription we store the time of purchase, the plan and price you were shown, your acceptance of the terms, all emails and renewal notices sent, and the account activity log: sign-ins, uploads, pages processed, exports and API requests, each with its technical details. The payment operator stores its own record of every transaction, including which country issued the card, where the payment was sent from and how the 3D Secure check ended. We assess unauthorised use claims against these records and give them to the card issuer when a chargeback is opened.

07

Immediate Start

Paying for a plan asks us to switch extraction on immediately. Should a law grant you a cooling-off period, that protection lapses the instant your first document can be processed, and you agree to this.

08

Purchases Before October 14, 2026

Payments made before that date follow the terms in force when they were made. A yearly plan whose current period started before October 14, 2026 keeps the cancellation window promised when it was bought, and your account shows that window while it remains open.
